Use our virtual door knock feature to quickly and easily alert your customers as to the status of when services will be completed using our geo-location technology.
This is perfect for your technicians out on the road to find their next customer stop and choose from a set of templates to communicate with them about their services.
This feature is only available on certain plans, so reach out to Captivated Support using the headphone icon in the bottom left hand side of Captivated to inquire about upgrading to add this feature to your plan.
Once Captivated Support has enabled this feature for your account, the first step will be to do a contact import that includes the address, first name, last name and mobile number. When importing, please map the street address to address line one, city to city, state to state and zip code to zip code. If you have access to the latitude and longitude, please map those to the appropriate columns as well upon import. If you don’t, no worries, as Captivated will find the latitude and longitude using the address you provide for us. Learn how to import contacts here.
Once the contacts have been imported with the address, head to the gear icon in Captivated and then select the Virtual Door Knock tile.
Then, add the users/teams using the “add user or team” button you would like to have access to this feature. Likely only the users that are on the road traveling to customer’s locations, such as technicians.
If a user is not added here, they will not see the Virtual Door Knock tab on their mobile device.
Next, add your templates by hitting “create template”.
Keep in mind, the templates in this section are only used for Virtual Door Knock. You will not see these templates in your normal templates section.
Choose from our base templates (optional) or create your own template. In the Virtual Door Knock templates section, you have the option to toggle on “include the sender’s photo”. This is perfect so you can send the technician’s headshot so that the customer knows who to expect at their location.
Make sure the technician has his profile picture added in Captivated for this to populate. Learn how here.
You will also be able to toggle on “include sender’s location”. This will send the technician (sender’s) location at the time they send it. This will confirm to the customer in case they are away from home that the technician was in fact at their location completing services.
Finally, you also have the option to add attachments such as contact card or any other file as needed.
Once you have created your template, make sure to hit the blue “save button” at the top right.
Virtual Door Knock only works on mobile devices and tablets. To utilize this feature, you must be shared in the admin section mentioned above. Click on the target icon within the Captivated mobile app. This is directly to the right of the messages button.
You will see five customers that are closest to your current location. This radius can be .1 miles up to 5 miles. The default is .5 miles so please message us at Captivated Support if you would like that to be adjusted based off of your needs.
Again, if you have not done an import with the address field, you will not see any customers here.
First, choose the customer next on your route that you’d like to communicate with my click on the right facing arrow.
Once you have selected the right facing arrow, hit the blue button to choose from the available templates.
Choose the template you’d like to send by selecting it.
Once you are done communicating with that customer, use the red button to remove that customer from your list.
Only five customers show up at a time.
